Privacy Policy
1.0 Introduction
FlexQube is committed to ensuring that your integrity is protected when you are in contact with FlexQube, either as a customer or as a supplier. Therefore, we have established a policy to regulate how your personal data will be processed and protected. Keep yourself updated about changes to this privacy policy by visiting our website. We will inform you directly in case of any changes to the policy which could be of significant importance to you. This privacy policy applies to FlexQube’s customers and suppliers.
2.0 Who is responsible for your personal data?
The Swedish company, FlexQube Europe AB, company registration number 556905-3944, with an address at Neongatan 8, SE-431 53, Mölndal, Sweden, is the data controller for the personal data you submit to us and is responsible for handling your personal data in accordance with the at each time applicable national legislation regarding the processing of personal data, common EU rules on data protection and the EU regulation 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (‘GDPR’), repealing Directive 95/46/EC, which shall be applied from 25 May 2018.
3.0 Where is your personal data stored?
The personal data we collect from you is stored within the European Economic Area (‘EEA’), but could be transferred to a country outside of the EEA. All such transfers of personal data are done in accordance with applicable legislation and with all reasonable legal, technical and organisational measures undertaken to secure that the level of protection is of the same standard as within the EEA.
4.0 What categories of personal data are collected?
We collect the personal data you provide to us, for instance when you place an order or make a delivery to us. The personal data you provide us with could include your name, personal identification number and contact details (such as an address, e-mail and phone number). Furthermore, we may collect certain personal data from external sources, such as companies offering credit check services and public registries to ensure your delivery addresses are complete and updated.
5.0 How is your personal data used?
We may use your personal data for the following purposes:
- To handle and process your and/or your employer’s orders from us;
- To handle and process our orders from you and/or your employer;
- To fulfil our contractual obligations, such as warranties, towards you and/or your
employer;

- To fulfil our legal obligations, such as obligations relating to product liability and for
bookkeeping purposes;
- To contact you and/or your employer in case of issues relating to your/our order;
- To send you and/or your employer marketing material, such as newsletters and
product catalogues;
- To perform credit checks;
- To conduct analyses to provide you and/or your employer with relevant product offers
and product information;
- To test and improve the systems we use to provide our products and services
We will only store your personal data for as long as it’s necessary to fulfil the purposes stated above,
or for as long as we are required to store such personal data according to applicable law. Thereafter,
your personal data will be deleted.
6.0 Legal ground for collection and processing of personal data
The legal ground for collection and processing of your personal data is (i) to fulfil our obligations in an agreement with you and/or your employer, (ii) to fulfil our legal obligations, or (iii) when processing is necessary for the purposes of the legitimate interests pursued by us and you, i.e. to improve the products and services provided to you and/or your employer and to be able to offer you relevant information about our products and services.
7.0 What rights do you have?
You are entitled to, at any time (once a year, free of charge), request information about your personal data stored and processed by us. If the personal data we store about you is incorrect, incomplete or irrelevant, you are entitled to have it corrected or deleted. We may not delete information we are required to retain to fulfil any of our legal obligations. In such case, however, we will ensure that your personal data will only be used for the purposes for which we are legally required to retain the data. You may at any time revoke your consent to let us use your personal data for marketing purposes. 8.0 Who has got access to your personal data?
Your personal data may be shared within the FlexQube Group of companies. We never forward, sell or otherwise, share your personal data to a third party outside of the FlexQube Group of companies for marketing purposes. Any personal data forwarded to a third party (a data processor) is used solely for the purposes of providing you with our products and services, such as shipping companies, media agencies for marketing purposes, companies providing financial services such as credit checks and financing of invoices and companies managing and supporting our IT systems. When your personal data is forwarded to any third parties (data processors), it is made solely for the same purposes the data was originally collected.
9.0 How do we protect your personal data?
We have undertaken technical and organisational measures to ensure that your personal data is protected from loss, manipulation and unauthorised access. We are continuously adapting and updating our security measures in accordance with technological progress and developments. Only such persons with a strict need to have access to your personal data to fulfil the aforementioned purposes will have access to your personal data.
10.0 Cookies
A cookie is a small text file recorded on your computer or mobile unit which is thereafter retrieved from your computer or mobile unit when you later re-visit our website. FlexQube uses cookies to improve and facilitate your visit to our website. We do not use cookies to store personal data or to forward such information to a third party. There are two types of cookies: permanent and temporary (session cookies). Permanent cookies are
saved as files on your computer or mobile unit for a maximum period of twelve months. Session cookies are only saved temporarily and are deleted when you close your browser. You can easily delete cookies from your computer or mobile unit through your browser. For information on how to handle and delete cookies, please refer to the ‘Help’ section in your browser. 11.0 Cookies from third parties
We use cookies from third parties to collect aggregated statistics in tools such as Google Analytics, Hotjar, Adwords, LinkedIn and Facebook. The cookies being used are both permanent and temporary cookies. The permanent cookies are saved as files on your computer or mobile unit for a maximum duration of 24 months.
